Introducing Moxo’s Laguna 9.8 release, a powerful update designed to provide organizations with enhanced flexibility, efficiency, and control. From dynamic decision-making within workflows to personalized client access, discover how these updates can transform your operations.

Decision Action

The new Decision Action enables dynamic workflows by incorporating simple "Yes" or "No" decisions directly into your flow. This feature, located under the Control section, allows teams to create efficient branching paths based on user input, ensuring that workflows are responsive and adaptable.

While the Decision Action works similarly to Alternative Branching, it is specifically designed for straightforward decision points rather than relying on form data or complex inputs. Based on the user's selection, the flow will automatically execute the appropriate path, simplifying workflows and reducing complexity.

  • Automates decision-making within workflows.
  • Simplifies branching for straightforward decisions.
  • Reduces complexity and improves clarity.
Examples:
  • Accounting firms: Route workflows based on whether a client opts for standard or expedited tax filing.
  • Digital marketing agencies: Adjust campaigns automatically based on a client’s choice between organic or paid marketing strategies.

Decision Action streamlines operations by ensuring workflows align seamlessly with client decisions, delivering greater accuracy and speed. By automating critical decision points and providing clear, actionable paths, this feature reduces the complexity of managing multiple workflow branches, enabling teams to focus on delivering value at every stage of the process.

Client Distribution List

Now available to Business Pro customers, Client Distribution Lists enable organizations to display custom Quicklinks to clients based on the specific distribution list a client belongs to. Located within the admin section, this functionality allows businesses to personalize the client experience by tailoring the resources each client sees, ensuring content relevance and improving engagement. Admins can configure distribution lists through the business portal, either during the client onboarding process using the new client invite flow or directly from the client’s profile page. By aligning Quicklinks with individual client needs or preferences, this feature provides a practical solution for businesses with diverse client bases or tiers—such as accounting firms, wealth management companies, and manufacturing enterprises—simplifying content visibility management and enhancing the client experience.

  • Tailored Access: Customize Quicklinks for specific clients or groups to ensure they only see content that is relevant to them.
  • Org Admin Control: Only organization admins can create and manage the distribution lists, maintaining centralized control.
  • Quicklinks Customization: In this release, customization is focused on Quicklinks, with potential expansion to other resources in future updates.
  • Client Assignment: Easily assign clients to distribution lists during onboarding or from their profiles.
Note: This feature is disabled by default and requires activation by organizations to enable it when necessary.

  • Accounting firms:
    Tailor resources for high-priority clients by providing premium resources, such as detailed tax filing guides or personalized tax advice. Differentiate offerings between small business owners and corporate clients, ensuring every client feels catered to with precision.
  • Wealth management firms:
    Deliver targeted insights and portfolio-specific reports through customized Quicklinks. For example, assign high-value clients resources like detailed investment strategies or exclusive market analysis, reinforcing trust and satisfaction.
  • Manufacturing enterprises:
    Provide product-specific links to suppliers, ensuring each partner receives resources tied to their roles or products, simplifying collaboration and improving efficiency.

Flow Workspace Owner: Mark Actions as Completed

Flow Workspace Owners now have the ability to manually mark in-progress or canceled actions as completed. This feature is designed to prevent workflow delays caused by external dependencies, manual processes, or incomplete task updates, ensuring that operations continue without interruptions.

Where to find It:
  1. Navigate to any flow workspace.
  2. Locate the desired action you want to mark as completed.
  3. Click on the ellipsis (“...”) icon on the right-hand side panel.
  4. Select Mark as Completed from the drop-down menu.

This simple, intuitive process empowers flow owners to maintain control over workflow progression and avoid unnecessary bottlenecks caused by incomplete or delayed actions.

Use cases:
  1. Integration failure:
    If a third-party application fails to complete a step—such as an invoice not syncing correctly—the Flow owner can manually mark it as completed to proceed with the workflow.
  2. Alternative completion:
    When tasks are completed outside of Moxo, such as via email or other external applications, Flow owners can manually update the action as completed to open subsequent actions.
  3. Workflow cleanup:
    For tasks that remain marked as in-progress but are actually finished, this feature allows flow owners to clean up lingering actions, maintaining an accurate and organized workflow.
  4. Client assistance:
    In situations where clients are unable to mark a step as completed—such as confirming document submission or payment—the flow owner can step in to resolve the issue, ensuring the process moves forward without delay.

This feature provides greater control and flexibility for managing workflows, ensuring that external dependencies or overlooked task updates do not disrupt progress. By enabling Flow owners to address incomplete or failed actions directly, organizations can maintain operational efficiency, improve task tracking accuracy, and minimize delays across their processes.

Reposition Flow Incoming Webhook as a Trigger Event

The Flow Incoming Webhook is now positioned directly within the main template builder UI, allowing users to configure it as a trigger event right at the start of a flow.

  • Simplifies workflow automation setup.
  • Provides instant access to webhook triggers for external system actions.

This update enhances ease of use, enabling faster and more intuitive workflow configurations.

Add Reactions to Messages

Enhance collaboration with message reactions, providing a quick way to acknowledge or respond without creating unnecessary clutter.

Key details:
  • Uncluttered workspace: Reactions do not create new entries in the timeline, chat, reply, or comment streams, maintaining a clean and organized workspace.
  • Push notifications: Only the original message creator receives a notification when a reaction is added, reducing distractions for other participants.
Note: Reactions are not included in reports or audits, ensuring they remain a lightweight, informal communication tool.

  • Time-saving: Quickly acknowledge a message with a reaction, saving time compared to typing a full response.
  • Enhanced collaboration: Use reactions to express agreement, approval, or acknowledgment, fostering seamless team interactions.
  • Improved focus: By avoiding additional clutter in feeds and threads, reactions help keep conversations concise and workspaces organized.

Support for Multiple Users per Role in Incoming Webhooks & API Triggers

Assign multiple users to a single role when triggering flows via webhooks or API calls, simplifying role management and enabling efficient team collaboration.

Support for Private Invitation Messages in Incoming Webhooks

Organizations can now include private invitation messages for incoming webhooks that trigger a flow, delivering tailored communication for specific recipients.

Service Requests List Report

The Service Requests List Report offers an intuitive way to track and manage service requests.

Key features:
  • Provides a comprehensive view of service request statuses.
  • Available upon request at the org level.

This feature enhances oversight, ensuring timely responsiveness to client needs.

Overdue Action Notification

Overdue action notifications are now sent to the action owner, in addition to the action assignee, ensuring greater accountability. This enhancement is designed to keep processes on track and maintain steady, uninterrupted progress, helping your team stay efficient and focused.

Support for 'Required Field' in E-Signature Text Fields

In E-Signature actions, you can now mark specific Text Fields as 'Required Fields,' ensuring that essential information is entered to complete the document. This enhances accuracy and compliance, streamlining the process of acquiring signatures by reducing the risk of missed information and avoiding the need for time-consuming follow-ups or repeated document submissions.
